Privacy Policy
Last updated: 26 October 2026
This policy explains what personal information Bossify collects, why, and the choices you have. Bossify is run by MatrixOS ("we", "us").
1. Who this covers
- Business owners and their teams who use Bossify ("merchants").
- People who visit bossify.org, use its chat or send an enquiry through its form.
When a merchant uses Bossify to run its own website, orders and franchise network, the merchant decides what it collects about its customers and is responsible for that information; we handle it only to provide Bossify to the merchant. Each merchant website has its own privacy policy.
2. What we collect
- Account details: name, email address, password (stored in a form nobody can read), role and the businesses you work for.
- What you put into Bossify: products, website content, orders, messages, files and settings.
- Billing: the assistant balance you add and payments. Card payments are handled by Stripe; we never see or keep your full card number.
- Chat on bossify.org: what you type and any contact details you choose to leave.
- Enquiry form on bossify.org: the name, email address, enquiry type (development or project collaboration) and project description you type in. These are sent to us as one email. The form does not save them in the website's own records, but the email itself is kept in the places described in sections 4 and 6.
- Email send record: when an enquiry email is sent, the website saves a send record in its own records with the kind of email (enquiry), the address of our mailbox, the delivery status, the standard subject line (which names the enquiry type), the email's reference number from our email service, and the date and time. If sending fails, it may also include an error message returned by the email provider. It does not contain the name, email address or project description you typed.
- Basic technical information every website receives, such as your IP address and browser type, kept for a short time for security.
3. Why we use it
- To provide, support and improve Bossify.
- To sign you in and keep accounts safe.
- To bill for the assistant balance and platform fees.
- To answer your questions.
- To reply to your enquiry and for any follow-up needed to answer it. We use enquiry details only for this, not for marketing.
- To meet legal, tax and accounting duties.
We do not sell personal information.
4. Who we share it with
- Website hosting and records: stored in Canada (Montreal).
- Email delivery (Resend, which also sends enquiry emails to us): United States.
- Our mailbox (Google Gmail, which receives enquiry emails): United States and other countries where Google operates.
- Card payments (Stripe): Canada and the United States.
- Automatic writing help and chat answers: OpenAI (United States) and DeepSeek (China).
- Maps: OpenStreetMap and Google Maps.
Your information may therefore be processed outside Canada. We may share information when the law requires it.
5. Cookies
We use only the cookies Bossify needs to work: sign-in cookies while you are signed in, and a chat cookie that keeps your conversation for up to 180 days. We don't use advertising or tracking cookies.
6. How long we keep it
We keep account information while your account is open. Some billing and tax records may be kept longer where required for legal or accounting purposes. Chat conversations are kept for up to 2 years. Enquiry emails: our mailbox (Gmail) keeps the full email, and the website's own records keep the matching send record, for up to 12 months from our last reply (or from the day we received the enquiry, if we did not reply). We then delete the email and the matching send record by hand; this is done by us, not automatically. Resend keeps the email content and its logs for a short time set by Resend (currently 30 days on our plan; this may change). Backup copies may keep deleted information for a limited time before they are overwritten.
7. Security
Access is limited to people who need it, information is protected in transit, and each business can see only its own records. If a breach creates a real risk of significant harm, we will tell you and the Office of the Privacy Commissioner of Canada as the law requires.
8. Your rights
You can ask to see, correct or delete your personal information, including an enquiry email you sent us, by emailing support@bossify.org. We reply within 30 days. You can also contact the Office of the Privacy Commissioner of Canada (priv.gc.ca).
9. Changes
We will post any change on this page and update the date at the top.
